Digital Downloads to Sell on Etsy: Files, Delivery and the Refund Rules

The boring half of selling downloads is the half that generates the complaints: which file format, how the buyer receives it, and what happens when someone wants their money back for something they already have. None of it is difficult. It is just never written down, so everyone learns it from their first angry message.

Quick answer: Send a flattened PDF or a print-ready image for anything meant to be printed, and a link only when the product has to be edited by the buyer. Include a one-page instruction sheet in every download. Refund policy is set by the marketplace and changes, so read the current version in your own shop settings rather than trusting a blog. Your side of it is making refunds unnecessary by showing exactly what arrives.

Why This Is Where the Trouble Is

In 5,900 posts from seller communities in 2026, the largest single group of titles was account and copyright trouble at 160 posts, followed by live shops with no sales at 111, then tags and search wording at 98. Delivery problems sit inside those numbers rather than beside them: a file that confuses the buyer produces a message, then a review, then a refund request, and a shop with a run of those has a bigger problem than any listing photo.

A physical seller finds out the parcel arrived. A digital seller finds out only when something goes wrong. That asymmetry is why the file and the instructions deserve as much attention as the design.

Choosing the File Format

Print at home

A PDF with everything flattened, at common paper sizes, with fonts embedded so it looks the same on a machine that does not have them. Nothing the buyer needs to assemble.

Print at a shop

High resolution images, in the sizes people actually order, saved without transparency. Say in the listing which sizes are included so nobody buys the wrong ratio.

Use on a screen

Standard image files at screen resolution, plus a note on where they fit. This is the group that most often needs a second version rather than a bigger one.

Edit before use

Only here does a link belong. The buyer must end up with their own copy rather than your original, which is the single most common template failure, and it is worth writing the steps out in plain words even though the platform already shows them.

What Goes in Every Download

  • The product itself, named clearly rather than as an export string.
  • A one-page instruction sheet covering how to open it, how to print it, and what to do first.
  • A terms line stating what the buyer may do with the file, in a single sentence they will actually read.
  • A way to reach you that does not require them to leave a public review to get help.

Nothing else. Extra bonus files inflate the folder and dilute the thing they paid for.

Refunds, Honestly

Digital goods sit awkwardly in every marketplace’s rules because the buyer keeps the product either way. Policies differ by platform and get revised, so the only reliable source is your own shop settings on the day you look. What does not change is your side of it.

  1. Show what arrives. A preview that lists the exact files and formats removes most disputes before they happen.
  2. Say what it is not. Not a physical item, not editable, not for commercial use, whichever applies.
  3. Answer quickly. Most refund requests are frustration with getting the file open, not regret about buying it.
  4. Fix the file, not the message. Two people confused by the same thing means the instruction sheet is wrong.

Which Downloads People Actually Talk About

Category mentions across the same sample: stickers 46, wall art 38, templates 32, printables 28, planners 14, spreadsheets 14, clipart 11, journals 5, invitations 4. The three at the top carry the heaviest competition; the two in the middle are bought for what they do rather than how they look, which makes them easier to describe and easier to deliver.

And the constraint behind all of it: only 2.8 percent of sellers in the sample named any outside source of visitors, while 96 posts described paying the marketplace for visibility. A flawless delivery still needs somebody to arrive first.
